What are the staffing roles and responsibilities?
There are six different types of roles that might be filled by team360 members. Not every event utilizes all roles. Expand each role description below to see the responsibilities listed.
What are the Event Manager responsibilities?
The Event Manager is responsible for the overall coordination and execution of the event, ensuring its success through effective leadership and communication. Key responsibilities include:
  • Leading the event team, ensuring all tasks on individual checklists are completed, and assisting team members as needed.
  • Coordinating with the client’s primary point of contact and adhering to the event Playbook.
  • Managing documentation, including vendor information, inventory, operational photos, completing incident reports and event metrics.
  • Communicating key milestones via text command and conducting team meetings to align priorities.
  • Reviewing emergency response plans and addressing site or jurisdiction contact inquiries.
  • Supervising site, vendor interactions, and load-in/load-out processes.
  • Overseeing supply logistics, signage setup, and task prioritization before and during the event.
  • Monitoring event day operations, checking in with staff, sponsors, and volunteers, and ensuring smooth participant flow.
  • Leading site strike, inventory management, and reporting event outcomes to stakeholders.
This role requires strong organizational, leadership, and problem-solving skills to handle dynamic situations while maintaining high standards of safety and quality.
What are the Site Coordinator responsibilities?
The Site Coordinator is responsible for the overall organization and coordination of the event site, ensuring efficient setup, smooth operations, and effective load-out. Key responsibilities include:
  • Collaborating with the Event Manager and client team during site review to evaluate plans, mark tent locations, address obstacles, and ensure parking and traffic flow.
  • Supervising supply logistics, labor assignments, and the placement of inflatables, signage, barricades, and trash bins during load-in.
  • Managing labor teams, ensuring they are always engaged, and supporting the Utility and Signage Coordinators in site setup.
  • Overseeing event day site preparations, including verifying tent setups, finalizing signage placement, and addressing last-minute needs.
  • Monitoring site cleanliness by coordinating trash management and maintaining an organized site.
  • Leading load-out operations by prioritizing tasks such as removing signage, gathering supplies, cleaning the site, and managing labor teams.
This role requires strong organizational, leadership, and problem-solving skills to ensure the site is operational, safe, and adheres to event standards.
What are the Vendor Coordinator responsibilities?
The Vendor Coordinator oversees vendor coordination and logistics to ensure smooth event setup, execution, and load-out. Key responsibilities include:
  • Confirming vendor arrival times, site details, and on-event contacts during pre-event calls.
  • Facilitating vendor load-in and ensuring proper placement of tents, stages, portable toilets, barricades, generators, and other equipment.
  • Troubleshooting vendor issues and collaborating with the Site and Event Managers to resolve problems efficiently.
  • Supervising labor teams, ensuring accurate setups, and addressing any discrepancies with vendor orders.
  • Supporting event operations on-site, including overseeing vendor compliance, maintaining safety protocols, and managing event village logistics.
  • Coordinating vendor load-out, verifying asset removal, and addressing order discrepancies or issues with the Event Manager.
This role requires strong communication, problem-solving, and organizational skills to maintain vendor efficiency and contribute to the overall success of the event.
What are the Route Coordinator responsibilities?
The Route Coordinator oversees the preparation, execution, and breakdown of the event course, ensuring all elements are properly set up and managed. Key responsibilities include:
  • Conducting a course drive with the Event Manager to finalize mile marker, signage, and volunteer placement.
  • Organizing and loading course supplies, including hydration station materials, cones, and course signage, and placing parking and directional signs on event day.
  • Training and positioning Course Marshals, maintaining communication, and providing on-site support during the event.
  • Monitoring the course during the event to ensure safety and functionality, including tracking the first and last walker and assisting volunteers as needed.
  • Collecting and returning course supplies, signage, and trash after the event and assisting with site breakdown.
Strong organizational, communication, and problem-solving skills are essential to ensure the course operates smoothly and participants have a positive experience.
What are the Signage Coordinator responsibilities?
The Signage Coordinator is responsible for overseeing the organization, placement, and inventory of event signage to ensure the site is properly branded and functional. Key responsibilities include:
  • Preparing and organizing signage for site, stage, and course placement, verifying inventory against the signage manifest, and labeling signs for ease of use.
  • Collaborating with vendors, staff, and managers to ensure proper signage placement, including storefront, coroplast, A-frames, feather flags, and directional signs.
  • Maintaining signage quality by securing and protecting signs from weather, cleaning as needed, and storing unused signage and hardware appropriately.
  • Supporting event operations by assisting with last-minute signage adjustments, coordinating with the Route Coordinator, and helping with finishing touches on site setup.
  • Managing load-out by conducting a detailed signage and supply inventory, properly disposing of or storing assets, and ensuring wet materials are dried before storage.
Strong organizational skills, attention to detail, and the ability to collaborate with a team are essential to excel in this role.
What are the Utility/Special Ops responsibilities?
The Utility and Special Ops role is responsible for supporting event setup, execution, and teardown by managing inflatables, supplies, and logistics. Key responsibilities include:
  • Assisting with supply pickup and organizing event materials by tent or area as outlined in the playbook.
  • Testing, staging, and managing inflatables, generators, and related equipment, ensuring proper setup and safety.
  • Collaborating with the Site and Signage Coordinators to keep labor teams on task during load-in and hanging signage.
  • On event day, inflating and monitoring inflatables, completing punch list items, assisting with signage placement, and ensuring all areas are ready for participants.
  • During load-out, deflating and storing inflatables, gathering signage and event supplies for inventory or disposal, cleaning the site, and preparing items for return or shipping.
This role requires strong organizational skills, adaptability, and the ability to work effectively within a team.
What is the salary for on-event staffing?
Salary details will be discussed by HR when reaching out about a staffing role.
What kind of commitment is staffing an event?
We staff events based on project needs and Event 360 availability. team360 staffing is generally for single events, but there may be opportunities for multiple events throughout the year.
Are there training requirements?
All events will have a pre-event meeting schedule the week prior to the event. Some events will have additional training. Event 360 will pay $20 for pre-event calls and training.
How many days do I work when staffing an event?
The number of days varies by event. Many of our smaller Saturday events follow this schedule:
  • Thursday: Travel-in day
  • Friday: Load-in and setup
  • Saturday: Event day, load-out, and travel home
Some larger events or specific roles may require an extra day prior to or following the event. HR will provide the anticipated work days at the time of staff commitment.
How many hours should I expect to work each day?
Successful event staff are the type of people who like to get ahead. We often choose to put in a little extra time ahead of the event to ensure we are not rushed on event morning and have bandwidth to deal with any surprises that come our way.
  • Travel Day: Mainly for travel; storage pick-up may be required upon arrival.
  • Load-in/Setup: Typically starts at 8:00 am and ends around 3:00–4:00 pm.
  • Event Day: Early start between 5:00–6:00 am; load-out usually completed by 1:00 pm.

Is travel and hotel stay covered?
Yes, all travel and hotel expenses are paid in advance by Event 360.
Is there Per Diem?
Yes. Per Diem is $55 per day including travel days.
How will I be paid?
team360 staff is paid a daily rate to include travel days. Pay is on a bi-weekly payroll schedule. See our payroll schedule here.
Can I drive to the event?
Yes, you are authorized to drive if it is within 200 miles or equivalent to 3 hours. See our travel policy here.
Are check-in bags a covered expense?
Yes. All checked-in bags are covered by Event 360. After the event you can submit an Expense Report to the event communications email. Please ensure all receipts are attached to the email.
